Visitors & Vendors
ESE can host visitors with the authorization of Berkeley Lab. All visits must be scheduled and approved in advance by the host.
Site Notification: Visitor Access Requirements for Lab Hosts
All business guests and visitors will need a request submitted by their host; only LBNL employees can host guests. To ensure smooth site access for your visitors, please adhere to the following requirements:
Non-Badge Holders
If your visitor does not hold an LBNL badge, you must submit two requests (click the buttons below):
A JIRA Request for your visitor(s) visiting Wareham ESE.
A VEOCI Site Access Request to add your visitors to the LBNL Visitor System.
Note as of 09/01/2026: Foreign national visitors from non-sensitive countries must now be processed through the Foreign National Access Program (FNAP). Previously, only foreign national visitors from countries on the Sensitive Countries List required this processing.
The following must be submitted before the Lab FNAP team can submit your visitor request to DOE: a visitor request from the host, along with a CV, visa, and other information gathered from the visitor.
Foreign national visitors from non-sensitive countries do not require DOE approval prior to coming on site, but the information must be collected and submitted; therefore, the process takes less time than requests for those from sensitive countries.
Following changes implemented in December, foreign national visitors from sensitive countries still require DOE approval prior to site access. The approval process for sensitive country foreign nationals requires 60 days. For these and all other visitors, please submit your request as early as possible to help avoid delays.
Be aware of upcoming visits involving foreign nationals from the SCL, and submit visitor access requests as soon as possible.
Do not use the standard Site Access System for these requests; instead, follow the instructions from the main Site Access site and inform ESE-Admin@lbl.gov.
Please follow all LBNL Security policies and practices when creating a guest request. For any questions or feedback regarding the Site Access Management System, please click here.
Hands-on Work
ESE employees must create a JIRA ticket for Lab Ops to host vendor visits for maintenance, repairs, or other services. When creating a JIRA ticket, provide contact information for the vendor, the equipment to be serviced, and a description of the services to be performed.
The following documentation for vendors is required for those working onsite. Contact Lab Ops (Will Toomey, manager) for assistance.
Certificate of Insurance (COI) - Required by Wareham Properties
General Radiological Worker Training (GERT) - Radiation training required by LBNL
Subcontractor Job Hazard Analysis (SJHA) - LBNL Required
PO or Service Contract issued by LBNL/UCB prior to any work performed.
With all this documentation, submit a Visitor Request on JIRA for the vendor. Do this at least 24 hours in advance of the visit. Without this, vendors may be turned away by security.
No Hands-on Work Required
If your visitor or vendor is a person NOT performing hands-on work onsite, then submit a visitor request via JIRA and specify 'Guest' on the 'Visit type' drop-down menu.
